Membership Lifecycle Management with Salesforce Revenue Cloud
A multi-location fitness operator was running membership tiers, add-ons, and promotional pricing as hundreds of separate SKUs, with freeze requests tracked in club-level spreadsheets and payments stopped by hand in the gateway.
We rebuilt the commercial model on Salesforce Revenue Cloud. Memberships are now attribute-driven products in Product Catalog Management, and freeze, resume, and renewal are asset amendments, so every change to a membership is dated, repriced, and pushed to billing and door access without anyone touching a spreadsheet.
Membership Status Chaos
Selling memberships was never the problem. Changing them was. Freeze, resume, upgrade, and renewal all happened outside the system of record, and each one left a gap between what the member believed they had bought and what the billing engine was charging them for.
Club managers logged freezes in a shared spreadsheet and paused the direct debit in the payment gateway. Contract end dates were rarely extended to match, so members got back months they hadn't paid for.
There was no reliable view of contracts approaching their end date. Term memberships lapsed into an unpriced month-to-month state, and the annual uplift was applied inconsistently across clubs.
Membership Management with Revenue Cloud
We modeled the membership as an asset with a state history rather than a row in a subscription table. Once every change is an amendment against that asset, freeze and resume stop being exceptions and become ordinary lifecycle events that billing and reporting already understand.
Product Catalog Management
Rebuilt the catalog around product classifications and attribute definitions. Club access level, contract term, joining-fee treatment, and corporate account are attributes on a single membership product, configured at quote time, instead of a SKU per permutation. Add-ons are related components with qualification rules.
Selling Models and Pricing Procedures
Monthly plans use an evergreen selling model, contract plans a term-defined one, and class packs a one-time model that draws down. Pricing runs through a Salesforce pricing procedure with price elements for tier discount, corporate rate, promotional waiver, and proration.
Asset lifecycle as the source of truth
Order fulfillment creates the membership asset. Every subsequent change (freeze, resume, upgrade, add-on purchase, and cancellation) is an amendment that writes an Asset State Period. Reconstructing what a member was entitled to on a given date is now a query rather than an investigation through case notes.
Renewal Automation
A scheduled process builds renewal quotes 30 days before term end, applies the configured uplift, and routes anything above the discount threshold for approval. Evergreen plans continue with a price-change notice on the required notice period. Non-responses and declines are handled as end-dated cancellations rather than being left to lapse silently.
Scheduled and Early Resume
Each freeze carries a resume date. A scheduled job reactivates the asset on that date, restarts the billing schedule, and prorates the partial first period. Members who come back early resume from the portal, and the unused freeze allowance returns to their balance for later in the contract year.
Fully Automated Lifecycle Operations
The measurable win was in the corrections that stopped happening. Freeze and resume no longer produce a queue of billing disputes at month-end, and the finance team reconciles against asset state periods instead of chasing club managers for spreadsheet versions.
